BluCore RCM ("BluCore," "we," "us," or "our"), operated by BluCore Health Solutions, provides full-cycle revenue cycle management services and supporting software ("Service") to dental and medical practices and group practices ("Customers"). This Privacy Policy explains how we collect, use, share, and protect information when you visit our website or use the Service.
This policy covers our role as a data controller for our website and prospect/customer business contacts. When BluCore processes Protected Health Information ("PHI") on behalf of a Customer, we act as a HIPAA Business Associate and the relevant Business Associate Agreement ("BAA") governs that processing.
Information we collect
Contact information — name, business email, phone, company name, role — when you book a demo, fill out a form, or use the chat widget.
Account information — credentials, profile details, configuration choices when you sign up for the Service.
Communications — content of messages sent through chat, email, or support.
Usage data — pages visited, features used, timestamps, referring URLs.
Device data — IP address, browser, operating system, approximate location from IP.
Customer-provided data — when Customers connect their PMS or payer portals, we receive operational data needed to deliver the Service. PHI is governed by the applicable BAA.
How we use information
Provide, operate, secure, and improve the Service;
Verify eligibility, retrieve claim status, post payments, and perform other revenue-cycle functions on behalf of Customers;
Communicate with you about demos, accounts, billing, support, and product updates;
Detect, prevent, and respond to fraud, abuse, and security incidents;
Comply with legal obligations and enforce our agreements.
We do not sell personal information. We do not use PHI for marketing or analytics outside of operating the Service.
How we share information
Subprocessors and service providers — cloud hosting, communications, analytics, support, and security vendors bound by written agreements.
Customers — administrators of the BluCore account associated with you can access account-related data.
Payers and clearinghouses — when you direct us to submit eligibility, claim, or payment transactions.
Legal and safety — if required by subpoena, court order, or legal process.
Business transfers — in connection with a merger, acquisition, or sale of assets.
Your rights
Depending on where you live, you may have rights to access, correct, delete, port, or restrict processing of your personal information. To exercise these rights, contact us at info@bluprintrcm.com.
California (CCPA / CPRA): You may request disclosure, request deletion, and opt out of certain disclosures. We do not sell personal information.
EEA / UK / Switzerland (GDPR): Lawful bases include performance of a contract, our legitimate interests, your consent, and compliance with legal obligations. You may lodge a complaint with your local supervisory authority.
PHI and HIPAA
BluCore handles PHI as a Business Associate of our Customers. See the HIPAA Notice for details.
Security & retention
We maintain administrative, physical, and technical safeguards including encryption in transit and at rest, access controls, monitoring, and personnel training. We retain personal information for as long as needed to provide the Service, comply with legal obligations, and enforce our agreements.
Changes
We may update this Privacy Policy. Material changes will be communicated by posting the updated policy with a new "Last updated" date.

These Terms of Service govern your access to and use of the BluCore RCM platform, websites, and related services (the "Service") provided by BluCore Health Solutions. By accessing or using the Service, you agree to these Terms.
Eligibility & account
You must be at least 18 years old and authorized to enter into these Terms on behalf of any entity you represent. You are responsible for the security of your credentials and all activity under your account.
Customer data & PHI
You retain ownership of all data you submit to the Service. You grant BluCore a limited license to process Customer Data solely as needed to provide the Service. When the Service involves PHI, processing is governed by the applicable Business Associate Agreement, which prevails over these Terms with respect to PHI.
Acceptable use
You agree not to: use the Service for unlawful purposes; reverse engineer or copy the Service; resell or sublicense without consent; interfere with the Service or attempt unauthorized access; submit data you do not have rights to submit; or use the Service to send spam, transmit malware, or harass any person.
Fees & payment
Subscription fees and payment terms are set out in your order form. Fees are non-refundable except as expressly stated. We may suspend the Service for non-payment after reasonable notice.
Intellectual property
BluCore, the BluCore logo, the Service, and all associated software and documentation are the intellectual property of BluCore or its licensors. We grant you a limited, revocable, non-exclusive license to use the Service during your subscription.
Warranty disclaimer
The Service is provided "AS IS" and "AS AVAILABLE" without warranties of any kind. BluCore does not warrant that the Service will be uninterrupted or error-free or that AI-assisted outputs will be free of errors. The Service is a tool. Coverage, payment, and clinical determinations are the responsibility of the Customer and require human review.
Limitation of liability
To the maximum extent permitted by law, neither party will be liable for indirect, incidental, special, consequential, or punitive damages. Each party's aggregate liability will not exceed fees paid by Customer to BluCore in the twelve (12) months preceding the claim.
Termination
Either party may terminate for the other's material breach not cured within 30 days of written notice. Upon termination, your right to use the Service ends. We will make Customer Data available for export for thirty (30) days following termination.
Governing law
These Terms are governed by the laws of the state in which BluCore Health Solutions is registered. Disputes will be subject to binding arbitration in the state of governing law, except for claims that may be brought in small claims court.
Changes
We may modify these Terms by posting an updated version. Material changes will be communicated with reasonable advance notice.

HIPAA Notice

BluCore RCM is committed to protecting Protected Health Information ("PHI") in accordance with HIPAA, HITECH, and related implementing regulations.
Our role: Business Associate
When BluCore processes PHI on behalf of a dental practice, medical practice, DSO, or group practice, BluCore acts as a Business Associate under HIPAA. We do not provide healthcare services and are not a Covered Entity ourselves.
Business Associate Agreement
BluCore enters into a Business Associate Agreement ("BAA") with every Customer before any PHI is transmitted to or processed by the Service. The BAA governs permitted uses of PHI, safeguards we maintain, breach reporting, subcontractor obligations, and return or destruction of PHI on termination. Encryption — TLS 1.2+ in transit, AES-256 (or equivalent) at rest;
Workforce training — HIPAA training at hire and annually;
Incident response — documented procedures for identifying, investigating, and responding to incidents;
Subcontractor management — written agreements requiring equivalent safeguards;
Risk management — periodic risk assessments and remediation tracking.
Permitted uses of PHI
BluCore uses PHI only as permitted by the BAA and HIPAA, including to provide eligibility, claim status, and posting services; to communicate with payers on the Customer's behalf; to manage and operate the Service; and to comply with law. We do not use PHI for marketing or sale.
AI and PHI
Where AI processes PHI, that processing occurs under the same Business Associate obligations as any other processing. Models used for Service operation are configured so that PHI is not used to train external general-purpose models, and we contract with AI infrastructure providers under written agreements consistent with HIPAA.
Breach notification
In the event of a breach of unsecured PHI, BluCore will notify the affected Customer without unreasonable delay and within the timeframes required by the BAA and HIPAA.
Patient rights
Patient rights with respect to PHI — access, amendment, accounting of disclosures — are exercised through the Covered Entity (your dental provider). If you are a patient, please contact your dental provider directly.

Compliance posture
HIPAA / HITECH — BluCore operates as a HIPAA Business Associate. We sign BAAs with all customers handling PHI.
SOC 2 — compliance program in development. Reports available under NDA.
Data protection
TLS 1.2+ for all customer connections in transit;
AES-256 (or equivalent) for stored customer data and PHI at rest;
Keys managed via an industry-standard key management service with role-based access and rotation;
Encrypted backups with documented retention and tested restore procedures.
Access controls
Role-based access on the principle of least privilege;
Multi-factor authentication required for administrative and production access;
Audit logging of access to PHI and administrative actions;
Periodic access reviews and prompt revocation on role change or termination.
Infrastructure
Hosted in a HIPAA-eligible cloud provider with HIPAA-eligible services and a signed BAA with the cloud provider. Network segmentation, security groups, and managed firewalls between environments. Continuous monitoring with alerting and on-call response.
Application security
Secure development lifecycle including code review, dependency scanning, and static analysis;
Periodic third-party security testing.
Vulnerability management with documented remediation timelines based on severity;

AI and model security
Contracts with AI infrastructure providers prohibit using customer data or PHI to train external general-purpose models. Logging and review of AI-generated outputs that affect customer financial state. Human-in-the-loop checkpoints for actions where misclassification could cause material harm.
Personnel
Background checks for personnel with access to production systems or PHI, where permitted by law. Mandatory security and HIPAA training at hire and annually. Documented incident response procedures with on-call rotation.
Incident response
BluCore maintains an incident response plan covering detection, triage, containment, eradication, recovery, and post-incident review. In the event of a breach of unsecured PHI, BluCore will notify affected customers within the timeframes required by the BAA and HIPAA.
